Say it Quote Privacy Notice

Version 1.3 Effective 28 September 2026

This notice explains how Cortex Guru Ltd ("we", "us") uses personal information when you visit sayitquote.co.uk, sign up to Say it Quote, or contact us. It also explains what happens to your information if a tradesperson has used Say it Quote to send you a quote.

Who we are

Say it Quote is run by Cortex Guru Ltd, a company registered in England and Wales with company number 17478664. Our registered office is 71–75 Shelton Street, Covent Garden, London WC2H 9JQ.

We are registered with the Information Commissioner's Office (ICO), registration number ZC256963.

Email us

If you received a quote from a tradesperson

If an installer or tradesperson used Say it Quote to prepare and send you a quote, that business is responsible for your information. We handle it only on their behalf and on their instructions, including emailing the quote to you in their name.

We use your email address only to send you the quote they asked us to send. We never use it for anything else: no marketing, no contact for our own purposes, and no sharing.

If you have questions about your information, or want to see, correct or delete it, please contact the business that sent you the quote. If you contact us, we'll pass your request to them and help them deal with it.

Your voice notes, transcripts and quotes are handled under our Data Processing Addendum with you. We use them to make and send your quotes and to fix faults, not for our own purposes.

Where we rely on legitimate interests, it is our interest in running a secure, reliable service and improving it. We have considered your rights and don't think they are outweighed. You can object at any time (see "Your rights").

We don't make decisions about you based solely on automated processing that have legal or similarly significant effects.

Where we get your information

Mostly from you, when you sign up, use Say it Quote or contact us. We get payment status (not your full card details) from our payment provider, Stripe.

Marketing

We only send you marketing by email or WhatsApp if you've ticked to agree, or if you're a customer and we're telling you about similar Say it Quote services and you haven't opted out. Every message lets you unsubscribe. Unsubscribing from marketing doesn't cancel your subscription, and cancelling your subscription doesn't stop service emails such as receipts and renewal reminders.

Who we share information with

We don't sell your information. We share it only with:

  • Service providers who help us run Say it Quote, under contracts that require them to protect it and use it only on our instructions. These include Twilio and WhatsApp (messaging), OpenAI and other AI providers (transcribing voice notes and picking out job details), Render and Amazon Web Services (hosting and storage), Cloudflare (website delivery and security), our email delivery provider (sending quotes and service emails) and Google Workspace (our own email and support). We set up our AI providers so they are not permitted to use your content to train their general AI models.
  • Stripe, to take payments. Stripe also acts as a controller of payment information; see stripe.com/gb/privacy.
  • Our professional advisers, such as accountants and lawyers, where needed.
  • Authorities, where the law requires it.

If Say it Quote is ever sold or transferred to another business, your information would transfer with it and we'd tell you.

Transfers outside the UK

Some of our service providers process information outside the UK, including in the European Economic Area and the USA. We protect those transfers using UK adequacy regulations, or appropriate safeguards such as the UK Extension to the EU–US Data Privacy Framework or the ICO's International Data Transfer Addendum.

How long we keep information

Deleted information is removed from backups within a further 35 days.

Keeping information secure

We use encryption in transit and at rest, private storage, multi-factor authentication for staff access, access logging, regular tested backups and a written incident response procedure. Quotes are only emailed after the installer has checked the details and confirmed.

Your rights

You have the right to:

  • ask for a copy of your information;
  • ask us to correct it if it's wrong;
  • ask us to delete it;
  • object to how we use it, or ask us to restrict its use;
  • ask us to move it to another provider;
  • withdraw your consent to marketing at any time.

To use any of these rights, email hello@cortexguru.com. We'll respond within one month. We may need to confirm your identity first.

Complaints

If you're unhappy with how we've handled your information, please complain to us first at hello@cortexguru.com. We'll acknowledge your complaint within 30 days and deal with it without undue delay.

You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Children

Say it Quote is for businesses. It isn't intended for anyone under 18, and we don't knowingly collect children's information.

Changes to this notice

We'll post any updates here with a new version number and date. If a change significantly affects you, we'll tell account holders by email.
